How Picture Car Rentals Work: Booking, Delivery, and Rates
A production breaks down the script for vehicles, sources them from a picture-car supplier, clears insurance, then schedules delivery to set. Rates differ by use: a car driven on camera carries more risk and wear than one parked as background dressing, and suppliers commonly price the two differently. On Revolution, sourcing, budgeting, scheduling, insurance, and wrap are handled in one dashboard, free for productions.

Two ways to source a picture car
The difference is not the cars. It is whether you spend the week on the phone, or manage the whole job yourself in one place.

Phone calls, quotes, and waiting
- Call regional rental houses one at a time
- Request a quote, then wait for a callback
- Compare quotes over email
- Chase a certificate of insurance from each vendor
- Track dates, budget, and picks in your own spreadsheet

01 — The process
Renting a picture car, step by step
The sequence is the same whether you are dressing one street or running vehicles across a season. What changes is how much of it a coordinator has to chase by phone.
- Break down the script for vehicles: era, look, hero versus background, and anything that drives on camera
- Source candidates and confirm availability against the shooting schedule
- Agree the rate, the agreed value, and how prep, hold, and shoot days are billed
- Clear insurance: the certificate names the owner as additional insured and is verified before release
- Schedule delivery to set against the call time, and confirm who receives the vehicle
- Shoot, with a coordinator on hand for swaps, and return the vehicle at wrap
02 — Static vs driving
Why a static car and a driving car price differently
A vehicle that sits as background dressing is exposed to far less than one driven on camera. There is no mechanical wear, no mileage, and much less risk of damage, and suppliers commonly reflect that in the rate they quote for static use.
How much less varies by supplier and by vehicle, and it is not a fixed industry discount, so confirm the static rate for the specific car rather than assuming a percentage. The distinction matters most on rare and high-value vehicles, where an owner may be happy to supply a car for a static shot and unwilling to have it driven at all.
03 — Delivery
Delivery, transport, and getting the car to set
Transport is a separate line from the day rate on most bookings, and it varies with distance, whether the vehicle is driven or hauled on a flatbed, and how many vehicles move together. Sourcing in the market where you shoot is the single biggest lever on that cost.
Rarer and lower-clearance vehicles are usually hauled rather than driven. Multi-car moves are more efficient than staggered individual calls, so where the schedule allows it, staging vehicles together is worth planning for at breakdown rather than at the last minute.

05 — Questions
Frequently asked questions
How does renting a picture car work?
A production breaks down the script for vehicles, sources candidates from a picture-car supplier, confirms availability against the shooting schedule, agrees the rate and the vehicle's agreed value, clears insurance, and schedules delivery to set. A coordinator handles on-set support and swaps, and the vehicle returns at wrap. On Revolution the sourcing, budgeting, scheduling, insurance, and wrap book all live in a single dashboard.
What is the difference between a static rate and a driving rate?
A static rate applies to a vehicle used as background dressing that does not move on camera. A driving rate applies when the car is driven in the shot. Driving carries mechanical wear, mileage, and a higher risk of damage, so suppliers commonly quote it higher. The gap is not a fixed industry percentage, so confirm the static rate for the specific vehicle.
Is delivery included in a picture car rental?
Usually not. Transport to and from set is typically billed separately from the vehicle day rate, and it varies with distance, whether the car is driven or hauled on a flatbed, and how many vehicles move at once. Sourcing near the location is the most effective way to reduce it.
Are picture cars delivered on a flatbed?
Rare, low-clearance, and high-value vehicles are normally hauled rather than driven, both to protect the car and to keep mileage off it. Everyday background vehicles are more often driven to set when the distance is short. The supplier and the owner decide this per vehicle.
Who is on set when the picture car arrives?
A picture-car coordinator or wrangler receives the vehicle, positions it, and stays available through the day for swaps or problems. On Revolution a dedicated coordinator manages delivery, on-set support, and any swaps as part of the booking.
How far in advance should a production book picture cars?
As early as the breakdown allows. Availability, prep work, transport scheduling, and insurance clearance all take time, and the more specific the vehicle, the longer the search. Common background cars in a busy production market can be sourced quickly; a period-correct hero in a small market cannot.
What happens at wrap?
The vehicle is returned to the owner or vendor and the booking is closed out. On Revolution the production closes out with a wrap book, so the vehicle line, the schedule, and the paperwork for the whole production are recorded in one place rather than reconstructed afterwards.
